Facility Coordinator


On behalf of our client, an international property development and investment company, we are looking for a motivated Facility Coordinator, who will provide facility administrative and coordination services, assist the Facility Manager to put into place all necessary measures to ensure safe, secure and pleasant use of all the facilities by homeowners, visitors, and employees, and providing the highest quality standards, shortest response time and an outstanding customer service.


You will either independently perform, or support the FM with the following:

        Assist Facility Manager in management and coordination of all the various operations and facility management of staff members and sub-contractors;

        Coordinate with Maintenance Supervisor in regards to the activities involving technical services including but not limited to handling and operating, inspection and testing, maintenance and upkeep, services and repairs, and environmental risk assessing;

        Coordinate activities in regards to Tender process, Contracting, purchases and services agreements with facility management services partners, including but not limited to: Security, Landscaping and Pest Control, Pool Maintenance, Garbage Collection, General Maintenance and Cleaning, Laundry and Courier Services, Electricity and Telecommunications, Water and Waste Water, Shipping and transportation, etc.;

        Communicate and Coordinate with the various project stakeholders, including but not limited to; homeowners, investors, company management, infrastructure team, general contractors, sub-contractors, construction management team, equipment manufacturers and resellers, equipment services companies, local municipality, and inspection departments;

        Keep an updated tracking sheet of all facilities maintenance activities and customer requests;

        Perform facility-related purchases and keep track of all purchases for supplies, materials, appliances, tools, etc.; assists with the negotiations for service agreements with various vendors;

        Assist Facility Manager with tracking and upkeep of planned vs. actual budget expenditures for facility-related costs;

        Assist in facilitating a clear billing procedure for utility consumption in coordination with financial department and by application of Energy Management System or other;

        Prepare various Reports in relation to all facilities functions;

        Maintain and update all official files in an organized manner;

        Assist in compiling and consolidating various Manuals, brochures, presentations, and other similar documentation;

        Assist in establishment and defining of a clear facility management procedures and protocols (Standard Operating Procedures, Policies, etc.);

        Maintain an archive for compiled and consolidated design documentation;

        Attend meetings with Facility Manager and provide meeting minutes;

        Assists in operations of the Motor Pool, maintenance and fuel supply;

        Consolidate, sort and manage all documents for office facilities operations and vehicle management;

        Assist in the process of Testing, Commissioning, and Handover of the Real Estate units, as needed;

        Provide high-end Customer Service to all clients, homeowners, and partners.


In order to succeed, you fulfill the following criteria:

       Prior experience in the facilities management or operations preferable;

       Minimum 5 years of experience in an administrative position;

       Excellent communication, time management and coordination skills;

       Excellent interpersonal and people skills;

       Strong negotiation and mediation skills;

       Ability to handle large workload and multiple tasks;

       Excellent knowledge of MS Office Suite;

       Full working professional proficiency in English and Montenegrin languages.
